Billing & Statement Policy
Selects Spirits Imports Inc., we prioritize transparency, timeliness, and accountability in our financial operations. The following Billing & Statement Policy is designed to establish clear rules for the issuance of invoices and account statements, ensuring accurate and prompt communication with our partner brands. This framework guarantees compliance with California’s business regulations and provides clients with confidence that all billing processes are handled efficiently and professionally.
1. Issuance of Invoices
- All invoices will be issued in the name of Selects Spirits Imports Inc., as the licensed entity under the California Department of Alcoholic Beverage Control (ABC).
- Invoices must be generated within 24 business hours following the completion of a service, movement of inventory, or any billable transaction.
- Each invoice will include: date, reference number, service description, amount due, applicable taxes, and payment terms.
2. Account Statements
- Account Statements will be issued twice per month (on the 15th and the 30th), aligned with the established payment schedule.
- Statements will summarize: invoices issued, payments received, applied commissions, storage costs, and the net balance due.
- Any discrepancies must be reported in writing within 5 business days of receiving the statement.
3. Delivery Method
- All invoices and statements will be delivered electronically from Selectspiritsimports@gmail.com
- Upon request, clients may be provided with secure access to digital platforms (Google Drive/ERP) for real-time monitoring.
4. Corrections & Credit Notes
- Should a billing error be identified, a Credit Note will be issued within 3 business days of verification.
- Adjustments will be reflected in the next Account Statement.
5. Legal Compliance
- All billing and reporting processes comply with applicable commercial and tax regulations in the State of California and federal law in the United States.
- Selects Spirits Imports Inc. will maintain financial and billing records for a minimum of 5 years, as required by law.
